The ExecutiveAssistant is a professional with: •Strong oral, written and verbal communication skills. •Five years administrative experience: nonprofit an asset •Highly competent and proficient computer skills including but not limited to: MicrosoftOffice, Microsoft Excel and AdobePhotoshop. •High energy, self starter who enjoys a fast-paced team environment. •Strong attention to detail and sensitivity to confidential matters
DUTIES AND RESPONSIBILITIES: Executive Director •Coordinate and control the ED calendar. •Take responsibility of special projects as required. •Liaison and correspondence with government, community agencies and donors.
Administration •General correspondence including thank you letters to donors. •Coordinate the donations list and maintain current contactinformation within the database. •Provide adminsupport to other staff including staff meetings and special events. •Act as recording secretary at staff meetings: transcribe minutes, distribute to staff. •Responsible for bank deposits and acting as lead contact with accountant.
ClientServices ▪Prepare client invoices on a monthly basis. •Provide Admission Packages and application Kits to Counselors for distribution. •Ensure client welcome binders are available and current for incoming clients. •Ensure client data is complete and ready for data entry.
Board of Directors •Assist with distributing Board Packages and information for meetings as required by the Executive Director and the Chair, Board of Directors. •Arrange for food, beverages, and other preparations for Board meetings as necessary. •Coordinate telecommunications support for Board meetings.
