Our client is one of the most respected professional orders of Quebec. They are currently seeking an Administrative Assistant to report to one of their Directors of professional developpement and one of their counsellors. This is a 35 hour work week and is a full year mandate, to end in May 2016.

The ideal candidate will be responsible to assist the Director and the Advisor in the performance of their administrative duties.


** MAIN RESPONSIBILITIES : **

   • Provide administrative support to the Director and Advisor;
   • Keep up to date the summary of recommendations of the professional development program and assure the layout of various documents related to this process;
   • Follow up, as required, with authors, contributors and group members, including the management of meeting schedules with them;
   • Responsible for the material and logistic organization of group meetings, including drafting and editing of invitations and related documents to the work groups;
   • Layout and assemble the content of products and services for the Advisor or the authors;
   • Monitor billing of the work groups, allocate invoices and have them approved;
   • Tracking of published news and writings and on the web site of the professional development center;
   • Coordinate the Director’s and Advisor’s agendas, with the internal and external participants and take care of the logistics of the meetings;
   • Carry out all other required tasks by the direct supervisor.


** ESSENTIAL REQUIREMENTS: **

   • College diploma in secretarial studies or equivalent (AEC)
   • 2 to 4 years in a position with a similar range of duties and responsibilities
   • Excellent knowledge of written and spoken French and English
   • Good drafting/writing skills
   • Windows 7 environment: Word (avanced), Excel (intermediate), PowerPoint (basic), Adobe Acrobat (asset)
