Our client located in Dorval is seeking an Executive assistant to directly support and serve as an extension of the Managing Director and Vice President, providing a broad range of highly responsible administrative services to guide the goals of the executive team and the division. The successful hire shall have strong Secretarial/Administration skills, client service skills and technical skills.

** Main Responsibilities: **

   • Execute, with minimal direction, administrative duties at the highest level, including managing time-critical, sensitive and/or confidential information.
   • Manage multiple, competing priorities and deadlines expediently and with considerable discretion and judgment.
   • Anticipate executive’s needs and proactively facilitates appropriate people and other resources to address these needs.
   • Manage the Managing Director’s and Vice president’s travel schedules, arrangements and reimbursements per company policies and procedures.
   • Research, assemble and develop various presentations, projects and reports.
   • Triage phone calls, mail, email and other communication with executives, direct reports and staff members.
   • Work cooperatively and collaboratively with other executives and staff members to create a high-functioning team that sets and achieves goals.
   • Manage routine administrative tasks as assigned. Examples may include: establish, develop, maintain and update key documents and files, managing special projects, etc.


** REQUIRMENTS: **

   • Minimum Bachelor’s degree or equivalent required
   • Three (3) to five (5) years’ experience in a similar position
   • Excellent project management skills
   • Ability to handle multiple tasks and work in fast-paced environment
   • Ability to prioritize and thoroughly follow up on assigned tasks
   • Excellent interpersonal and communication skills
   • Knowledge of Keynote, Word, Excel, PowerPoint, Publisher
   • Bilingualism is essential;
