** Providing confidential executive-level support to the President:
Managing and coordinating the administrative functions and welfare within the office of the President and CEO. Regularly required to resolve administrative problems independently. Perform tasks that are diverse and advanced.
More specifically, this position encompasses the following:
• Manage and Maintain calendars, both business and personal
• Make appointments & reserve conference rooms & restaurants, etc. as necessary
• Assist the President in preparing for meetings, providing necessary files and other documents and information required.
• Keep and prepare minutes of meetings when requested.
• Coordinate all travel arrangements: airline, hotel, limousine and other travel reservations as required and take the imitative re arrangements and reservations based on the agenda.
• Manage and respond to mail and email on behalf of the President (i.e. invitations, rsvps, etc.) in French and English.
• Screen President’s calls and maintain daily logbook
• Prepare expense reports: Take the initiative to obtain receipts and vouchers for all out of pocket expenses and prepare the necessary expense accounts
• Take part in HR practices such as monitor employee seniority
• Participate in hands-on special projects such as event planning – for corporate affairs
• Revision of text (French and English)
• Provincial inscription of companies
Personal - Related Responsibilities will include, but not be limited to:
• Coordinate international travel arrangements ( airline, hotel, transfers, visas, etc)
• Monitor donations, private bank accounts and investments, maintain an efficient electronic filing system
• Prepare cheques for personal suppliers and ensure payments
• Monitor miscellaneous subscriptions and memberships
• Contribute to the organization of special events
• Carry through various ad hoc requests
Main requirements and qualifications
• Have EXCEPTIONAL foresight, able to anticipate the needs of the principal.
• Be Proactive in nature, able to take initiative
• Able to follow up and follow through
• Able to work with discretion and confidentiality
• Excellent time management and organizational skills - Essential for success in this role.
• Must be comfortable handling confidential matters and dealing with high level executives.
• Able to deal effectively with change, last minute changes or requests and the unexpected.
• Previous experience working for Directors, VPs, CEO, COO, President or Chairman of the Board for at least 5 years.
• Bilingual and strong communication skills, both in French and in English
• in English and French
• Assure discretion at all times
• Able to meet deadlines in a fast pace environment.
• Able to write well in both French and English
• Communication without ambiquity
